Our Services / Recruitment Procedure

To obtain approval and permission from the Nepal Government (Ministry of Labor and
Department of Labor) for recruiting manpower, overseas employers must provide the
following documents, duly attested by the Nepal Embassy and the Chamber of Commerce in
the employer’s country. These documents are necessary to publish vacancy advertisements in
Nepal’s national newspapers.
Documents Required

• Power of Attorney
• Two-Party Service Agreement
• Contract Agreement
• Guarantee Letter
• E-Wakala (required only for Saudi Arabia)
Note: Government-provided sample documents can be furnished upon the employer
company’s request.

Selection of Candidates

1. Application Process
Upon receiving recruitment permission, we publish advertisements in national
newspapers to invite applications from qualified and interested candidates.
Applications are then reviewed by a committee to shortlist candidates based on the
employer’s requirements.
2. Shortlisting and Selection
The details of shortlisted candidates can either be sent to the employer for review or
kept ready for interviews and final selection by the employer’s representatives. Kist
Human Resource Pvt. Ltd. ensures all logistical and administrative support for this
process.
3. Medical Examination
Candidates selected for employment undergo medical examinations at authorized
hospitals or clinics. Only those certified as medically fit proceed to the visa processing
stage.

Recruitment Timeline

• Deployment Deadline
After receiving all required documents, including visa copies, candidates will be
deployed within 15 to 30 days.

Departure Formalities

1. Passport Assistance
Kist Human Resource Pvt. Ltd. assists selected candidates in obtaining their passports
promptly.
2. Visa Processing
Once the employer provides visas for the workers, Kist Human Resource arranges the
flight schedules for the candidates.
3. Ticketing and Immigration Clearance
o Employers are expected to provide E-tickets for the selected candidates.
o If travel expenses are borne by the candidates, Kist Human Resource handles
immigration clearance from the Department of Labor and ensures all departure
formalities are completed.

Pre-Departure Orientation

Kist Human Resource conducts a pre-departure orientation for candidates with approved
visas. This training covers:
• Duties and responsibilities at the workplace.
• Key information about the host country’s working environment.
• An overview of the laws and regulations of the destination country.

Guarantee

• Timely Deployment
Kist Human Resource ensures the timely deployment of workers, barring
uncontrollable circumstances such as the unavailability of air tickets or other
unforeseen issues.
• Accountability for Unfit Workers
If a worker is deemed technically unfit or unable to perform their duties, Kist Human
Resource will take full responsibility for their return.

Recruitment Process

The required documents for recruitment vary by country, but they generally include a
Demand Letter, Employment Contract, Power of Attorney, and an Inter-Party Agreement.
Below are the documents required to fulfill the formalities mandated by the Government of
Nepal.

. Documents Required for Saudi Arabia

1. Demand Letter
o Addressed to Kist Human Resource Pvt. Ltd.
o Should specify the number of workers required in each category, along with details of salary, accommodation, and other benefits offered to the workers.
2. Power of Attorney
o Authorizes Kist Human Resource Pvt. Ltd., Kathmandu, Nepal, to act as the lawful attorney and agent. (Sample format attached)
3. Authority Letter (Consular Letter)
o Addressed to His Excellency, The Consular of Saudi Arabia, in Kathmandu, Nepal, authorizing Kist Human Resource Pvt. Ltd. to act as the lawful attorney
and agent.
4. Visa Slip (Bank Deposit Slip)
o Original visa slip required for block visas. For multiple block visas, photocopies are acceptable.
5. C.R. Copy
o A photocopy of the company’s Commercial Registration (C.R.) is required.
6. Employment Agreement
o One signed and stamped copy of the agreement by the sponsor.

Documents Required for Other Countries

1. Demand Letter
o Addressed to Kist Human Resource Pvt. Ltd.
o Should include the number of workers required in each category along with salary, accommodation, and other benefits for the workers.
2. Power of Attorney
o Authorizes Kist Human Resource Pvt. Ltd., Kathmandu, Nepal, to act as the
lawful attorney and agent. (Sample format attached)
3. Employment Agreement
o One signed and stamped copy by the sponsor.
4. Agency Agreement
o An agreement for manpower services signed between the employer and Kist Human Resource Pvt. Ltd.
o Includes the provision for screening and shortlisting candidates through a preinterview process conducted by Kist Human Resource Pvt. Ltd.
Note: Employers may choose candidates directly via a video conference facility if preferred.
5. Guarantee Letter
o Addressed to the Director General, Department of Labour & Employment Promotion, Government of Nepal, guaranteeing that the recruitment is specifically for the mentioned country and company only
